You’ve finally built the perfect automated workflow. It captures leads, enriches data, and updates your CRM. It’s a thing of beauty. Then, you launch a campaign, traffic spikes, and you wake up to a “Task Limit Reached” email and a bill that looks like a car payment. Worst of all, it’s not the only bill increased by this scaling (accounting for CRM enrichment, APIs, etc.).
For years, marketers have accepted this as the cost of doing business. We pay a premium for simplicity. But as your strategies get more complex, potentially involving AI agents, multi-step logic, and heavy data lifting, Zapier’s “pay-per-step” model punishes you for being successful.
What even is n8n?
n8n was created by Jan Oberhauser in 2019 to solve his own problem of repetitive coding, evolving from an idea for “Node.js + automation” into a source-available, self-hostable workflow automation tool that visually connects apps, offering flexibility and control. At its core, n8n was conceived as an alternative to expensive Zapier (or other inferior software at that time) and its greedy prices and packages.
Why n8n?
After migrating dozens of high-volume marketing workflows from Zapier to n8n, marketers have seen costs drop significantly while automation capabilities skyrocketed. This is mostly because n8n is source-available software and can be hosted on a virtual machine or online cloud server.
Free for Self-Hosting
The only thing you are paying for is the machine (the RAM, storage and CPU power for the shared cloud server or dedicated server) and the potential APIs you are linking to your n8n.
Powerful Logic with Optional Code
n8n has many nodes and flows that are easy to understand for many users (although keep in mind that most of the high-performing and complex automations require some knowledge of JavaScript and API integrations from platforms like Google Workspace).
AI Agents Are Native in n8n
n8n has many nodes for AI models from OpenAI, Google and many more. Our recommendation is to connect the “OpenRouter” interface to easily change the model you want to use and spend on. Keep in mind that for n8n and API integrations, you only pay for what you use in token amounts per model.
What to Know Before Your First n8n Workflow
Zapier charges you per “Task.” Every time a lead moves from Facebook to Slack, that’s a task. If you add another action, like a CRM update? Another task. (Zapier’s built-in Filter, Formatter and Paths steps don’t count as tasks.)
Zapier: A workflow to capture a lead, enrich their data, and update your CRM might be 3-5 action steps. If this runs 10,000 times/month, that is 30,000 to 50,000 tasks, which puts you on the $289/month tier of Zapier’s Professional plan (billed annually) just for that one Zap.
| Feature | Zapier | n8n (Self-Hosted) |
| Pricing Model | Per Task/Step | Per Workflow Execution (Free) |
| Cost to Scale | Punitive. Costs rise linearly with activity. | Minimal. Only for your server (e.g., $6/mo). |
| Complex Logic | Costs more with every extra action step. | Does not cost more: one execution, regardless of steps. |
n8n charges per workflow execution. Whether your workflow has 5 steps or 50 complex logic steps, it counts as one execution. Or, if you self-host it (which is easier than it sounds), it is free.
Because n8n is “source-available,” you can run it on your own cheap server (like a $6/mo DigitalOcean Droplet) and run your workflows for the price of a coffee or a Netflix subscription.
Do You Need to Know How to Code?
The learning curve is slightly steeper: you might need to learn what “JSON” looks like and what it really is. JavaScript for some of the workflows is inevitable. But those skills are exactly what separates the modern “Technical Marketer” from the obsolete one.
How do you use n8n?
You can literally draw a line back to a previous step to create a loop. If you know really anything about algorithms and step-by-step (or multistep) executions of tasks, n8n will be really easy to understand.
As with any software, it takes some getting used to, but it pays off in the end when you are comfortable with automating really anything.
It handles JSON data natively. You don’t need a “Formatter” step to change a First Name to Title Case; you can just use a tiny snippet of JavaScript (or the built-in expression editor) right inside the node.
Don’t migrate everything today. Start with the “High Volume, Low Complexity” tasks that are costing you the most. Look at your Zapier history. Identify the one Zap that consumes 40%+ of your tasks.
Fireship n8n review:
Is n8n in danger from big AI companies on the market?
Yes and no. Google recently launched its new experimental tool called “Google Opal”. Right now, it is very clunky (at least in our opinion) but keep in mind all these tools have potential to surpass their initial implementers if the big corporations are interested enough to upgrade and market these tools (if they see profit in it).
The way Gemini passed OpenAI’s ChatGPT at the top of Apple’s U.S. App Store in September 2025 shows just how competitive automation and node-based software will become. As a recent article put it, “Microsoft AI CEO predicts personal AI companion for everyone within 5 years.” Automation software and skills will only become more important.
