About the Client
Mindset Conference is the largest personal-development event in the Balkans, bringing hundreds of attendees together for a full day of panels with well-known speakers.
For an event like this, the website is also the box office. Attendees need the event information, ticket options, payment, and their tickets, all in one place. At the venue, every ticket then needs to validate against the ticket database.
The Challenge
The organizer had originally been working toward launching the conference under his podcast’s name. The domain was tied up with a previous agency and never became available.
That meant a new conference website had to be launched with only 2 weeks available.
The site also had to handle the complete ticket journey. A visitor needed to buy a ticket online. The system needed to record the purchase and email a unique QR-coded ticket. At the venue, promoters needed to scan that QR code from their phones and validate it in real time.
The ticketing system could not fail and it was a priority. Every purchase had to create a valid QR ticket, and every scan had to confirm it was valid and unused. With hundreds of attendees arriving at once, a failure meant queues at the door.
Our Approach
We treated the project as two connected systems: the conference website and the ticketing operation behind it.
The conference website
We built the site in WordPress and Elementor around the information attendees needed to make a purchase:
- The conference and founder story
- Speakers and special guests
- Full event program
- Ticket pricing
- Partners
- FAQ
- Legal pages required for ticket sales
The design is clean, modern, and video-led. Every page leads back to the same action: buying a ticket.
The ticketing flow
WooCommerce handled the online purchase and payment process.
Tickera handled the event tickets. Each completed purchase was recorded, and the buyer received an email containing a unique QR-coded ticket.
Real-time check-in
Promoters installed the Tickera scanning app on their phones.
At the entrance, they scanned each attendee’s QR code. The ticket was checked against the database in real time, so a valid ticket could be admitted and a validated ticket could not be reused.
Systems testing
The purchase, ticket generation, confirmation email, database record, QR scan, and validation all had to work as one chain.
We did not stop when the site went live. Our team was also on-site at the conference to support the ticketing and check-in process throughout the event.
The Outcome and Value
The conference launched under its new brand within 2 weeks, with ticket sales live from day one and no revenue lost.
The organizer could sell tickets online, collect payments through WooCommerce, and move paid attendees through the door using QR check-in. That meant the website supported the full sales process, from ticket purchase to entry, without adding unnecessary manual costs.
With the ticketing system and on-site support in place, the organizer had a working sales and check-in operation for the event rather than a website that only promoted it.
