You’ve finally built the perfect automated workflow. It captures leads, enriches data, and updates your CRM. It’s a thing of beauty. Then, you launch a campaign, traffic spikes, and you wake up to a “Task Limit Reached” email, a bill that looks like a car payment and worst of all – it’s not the only bill increased by this scaling (accounting for CRM enrichment, APIs etc.)

What to Know Before Your First n8n Workflow
Zapier charges you per “Task.” Every time a lead moves from Facebook to Slack, that’s a task. If you add a formatter step? Another task. If you parse a date? Another task.
Zapier: A workflow to capture a lead, enrich their data, and update your CRM might be 3-5 steps. If this runs 10,000 times/month, you could hit a $150+ bill just for that one Zap.

n8n charges per workflow execution. Whether your workflow has 5 steps or 50 complex logic steps, it counts as one execution. Or, if you self-host it (which is easier than it sounds), it is free.
Because n8n is “source-available,” you can run it on your own cheap server (like a $5/mo DigitalOcean droplet) and process 100,000 executions for the price of a coffee or a Netflix subscription.
In Zapier, you pay for efficiency. In n8n, you pay for infrastructure. As you scale, infrastructure is always cheaper.
Do You Need to Know How to Code?
The learning curve is slightly steeper – you might need to learn what “JSON” looks like and what it really is. Java Script for some of the workflows is inevitable. But those skills are exactly what separates the modern “Technical Marketer” from the obsolete one.
How do you use n8n?
You can literally draw a line back to a previous step to create a loop. If you know really anything about algorithms and step by step (or multistep) executions of tasks – n8n will be really easy to understand.
As with any software – you need some getting used to – but it all adds up at the end when you are comfortable with automating really anything.
It handles JSON data natively. You don’t need a “Formatter” step to change a First Name to Title Case; you can just use a tiny snippet of JavaScript (or the built-in expression editor) right inside the node.

Is n8n in danger from big AI companies on the market?
Yes and no. Google recently launched its new experimental tool called “Google Opal”. Right now, it is very clunky (at least by our personal opinion) but keep in mind all these tools have potential to surpass their initial implementers if the big corporations is interested enough to upgrade and market these tools (if they see profit in it).
The way Gemini surpassed even OpenAI’s ChatGPT in some benchmarks of usage and app downloads shows just how competitive automation and node-based software will become. As in a recent article where “Microsoft AI CEO predicts personal AI companion for everyone within 5 years”, these automation software and skills will only become more needed.
